How Overextending Yourself Can Kill Your Business

Let us delve into how overextending yourself can kill your work performance and ruin personal relationships. There are friends and neighbors and co-workers and loved ones right now that you know need to hear a message about them being overextended and they're not listening to you.
Here are five vital things you can do NOW to manage your world. Keep in mind I’ve worked on these things for the better part of 35 years and I suspect I always will.
 
 Key Mindset #1: School is Never Out!
 
Incoming Information
 
Stuff is constantly coming into your world. It can be paper. It can be a phone call. It could be an unexpected meeting.
 
There's only one of five things that you need to decide to do. But did you hear that?. You need to decide to do one of these five.
 
Sitting on it and putting it in a pile is not one of the five things. You have got to be proactive. Your activity could be fast and aggressive or it could be a delay, a little bit delayed. Let me explain. A phone call comes in. An e-mail comes in. Are we going to do it now? Well we can. Are we going to do number two and delegate it now? Do you have a team of people that you can outsource a delegated task to? If you can, and you don't need to do it, then don't do it.
 
Don't sit on eggs that other people can hatch.
 
So that e-mail comes in. That phone call comes in. Paper comes in. A box from UPS comes in. We can do it, or number two, we can delegate it.
 
1- Do It!
2- Delegate it!
 
If we don't do it or delegate it the third thing we can do right then and there is shred it. Yes, I said it, shred it.
 
3- Shred It!
 
Don't delegate anything that you can read in less than 90 seconds. If it’s paper, most of the time you’ll determine to shred it. I absolutely love to hear my shred machine when I’m shredding paper. It's an exciting time. It's like a green check mark for me. Shred it and forget it, okay?
 
4- File it!
 
In your Day 1-31 folders. The paper you have in your hand can’t be shredded because it needs your attention at a future date. You can create a task on your email or task management software. Or you can take that piece of paper and file it in a day 1 through 31 accordion file. Now guys, all of you have seen an accordion file. At an Office Depot or something like that. You grab that accordion file and you file that piece of paper.
 
Key Mindset #2: Live by the habit of checking your day 1-31 folder every single day.
 
Sometimes there may be little or nothing for you to do in that days folder. If not, move on. Some of you probably need to go into your e-mail because if you don't have a discipline of going into each one of those days every single day you'll forget to do something so you could literally take a piece of paper, throw it into say day Four, and right then and there you put yourself a note, day four, need to see the electric bill. And when day four comes, you will have a notification in your e-mail that it just came up and you'll just go over there and pull day four and do it.
 
That's how you move the paper.
 
Imagine that you never have a pile of paper sitting on your desk again - ever!.
 
 It has to go somewhere immediately.
 
Paper piles cause stress and anxiety and zaps your energy away from doing worthwhile work. It doesn’t have to be this way. You can make this positive change now.
 
No piles!  No excuses! Yes, I’m talking to you!
 
Remember,  to stop the overwhelm and the feeling of being overextended, when paper, emails, packages & projects come in, from now on you’re going to do it, you're going to delegate it, you're going to shred it or you're going to file it in a day one through one accordion file and pend yourself electronically what day that is, 1 through 31, and then lastly the fifth thing that you can do is you can set an appointment on your calendar to do it.
 
5- Set an Appointment
 
That means everything that comes in, you don't have to do it that day or that moment. You could do it at 2:30pm in the afternoon. You could do it at 9:30pm after the kids go to sleep. But set an appointment for yourself. You're setting an appointment for yourself when you're going to do the next project. Because guys, if you don't set an appointment it's not going to happen. It's just going to sit there and draw dust.
 
I promise with all that I am that if you read and re-read this article daily and use these strategies to make better decisions you will feel less stress, less overwhelm and much more confidence and control over your life.
